In addition to our hard copy archiving services we can also scan your documents for you.
This document scanning service is an electronic filing and document management programme called FTImage.
Many of our existing customers use this facility.
Our in-house document scanning department can convert all your documents to digitally scanned images
and then email these direct to your desktop or transfer as many as 20,000 of your document images onto a single
compact disk in a database format suitable for your requirements. Not only is this document scanning service an
alternative to traditional archive storage, it also allows your hard copies to be kept off-site and enables you
to store the same quantity of information on-site in just a fraction of the space.
Document Preparation
Upon receipt at the scanning bureau each box is logged into our system and checked against the
collection document detailed. Clients will be notified immediately should there be a discrepancy in these
quantities.
Upon receipt of the documents and depending on the size of the batches received, the documents/files
will be split into batch quantities suitable to help us maintain our quality control procedures at each stage of the
process which is described in further detail below.
Document preparation procedures consist of the following elements;
Removal of staples, clips and pins
Removal of bindings
Repair of torn and damaged documents
Repositioning of post it notes
Following preparation each process and batch number assigned is recorded onto the batch
control sheet. The batch will then pass to the scanning stage.
